This notice explains what Maximum4 collects through this website, why we use it, where it goes and the choices you have.

Who is responsible for your information

MAXIMUM4 LTD is the controller of personal information collected through this website.

We are registered in England and Wales under company number 17432478. Our registered office is 71-75 Shelton Street, Covent Garden, London WC2H 9JQ. We trade as Maximum4 at maximum4.com.

Maximum4 Ltd has paid the data protection fee to the Information Commissioner's Office.

What we collect

When you send an enquiry, we collect:

  • your name;
  • your work email address;
  • your company; and
  • your message.

Ploy also records technical submission information, including the page used, the time of submission and the submitter's IP address, as part of its form submission record.

When browser analytics is on, Ploy collects a pseudonymous browser identifier, a session identifier, page views, traffic sources, clicks, scroll depth, form starts and form submissions. It also receives technical information such as browser and device details, IP address and approximate location. The analytics does not collect the words entered into the enquiry form.

Why we use it

We use this information to respond to your enquiry. If we later work together, we also use it to prepare for and deliver the engagement.

Our lawful basis is legitimate interests. It is reasonable for us to use the details you choose to send so we can answer you and discuss possible work. You do not have to send an enquiry through the form. Sending one does not commit you to anything.

Where it goes and who processes it

The form is provided through Ploy. Ploy stores each submission in Maximum4's private workspace and emails a copy to the workspace's configured notification recipient. Browser analytics events are sent to Ploy through a first-party endpoint on this website. Ploy processes form, analytics and visitor information on our behalf.

Ploy also runs visitor identification on this website. Using technical information from the visit, it may attribute a visit to a company and show us that company's name, domain, industry and size, and may suggest possible contacts at that company from Ploy's own data. Ploy states that it "does not collect or share net-new anonymous visitor data in GDPR-regulated regions such as the EU and UK", so for new visitors from the UK or EU this should not apply. We rely on legitimate interests for this: understanding which businesses show interest in our services. We do not use it to contact individuals who have not enquired. You can object at any time by emailing privacy@maximum4.com.

Ploy is based in the United States. Its published privacy information says personal information may be processed and stored in the United States or in other countries where its service providers operate. For transfers from the United Kingdom to a country without an adequacy decision, Ploy says it uses safeguards including standard contractual clauses and the UK International Data Transfer Addendum.

We do not sell enquiry information. We do not use it for unrelated marketing.

How long we keep it

If an enquiry does not lead to work, we keep the correspondence for twelve months from our last contact with you, then delete it. If we work together, we keep the relevant correspondence for as long as we need it for the work, our records and any legal obligations.

Ploy's published policy says customer data is kept while the account is active or as needed to provide its service. After an account ends, Ploy says it keeps customer data for 60 days to allow export, then deletes or removes identifying details under its standard deletion schedule. Some information may be kept longer where the law, security or a legal hold requires it.

Your rights

Under UK data protection law, you may have the right to:

  • ask for a copy of your personal information;
  • ask us to correct information that is wrong or incomplete;
  • ask us to delete your information;
  • ask us to restrict how we use it;
  • object to our use of it where we rely on legitimate interests; and
  • receive information you gave us in a portable format, where that right applies.

These rights do not apply in every situation. Contact privacy@maximum4.com and we will explain what applies.

Complaints

Please contact us first if you have a concern so we can try to put it right. You also have the right to complain to the Information Commissioner's Office. Visit ico.org.uk for guidance and contact details.

Changes to this notice

We will update this page if the information we collect, the services we use or the law changes.
